Trust Administrative Assistant

Type: Full-Time/Non-Exempt

Hours: Mon-Fri 8:00am – 5:00pm; Occasional overtime

Description:

Your main role will be assisting fellow Trust Department employees in delivering accurate and timely information and assistance to trust customers and beneficiaries. In all such dealings, you are expected to be professional, helpful, and prompt.

Duties Include:

  • Create new accounts on computer system.
  • Prepare files.
  • Assist Trust Officer with preparation of documents for new accounts: W-9’s, EIN’s, Bills of Sale, Assignments, Authorization and Direction form, Schedule A, conservatorship/estate inventories, Receipts, prepare and monitor entries to set up or sell assets.
  • Assist Trust Officer with preparation of documents for closing accounts: W-9’s, Beneficiary Acknowledgment forms, Revaluation of assets and preparation of date of death schedules, order checks and prepare receipts, prepare supplemental accountings, prepare entries to distribute/sell assets, assist with preparation of distribution schedules.
  • Index and file estate planning documents. Review with officer to provide information.
  • Assist Trust Officer with review of assets and documents.
  • Review client bills for payment from various accounts.
  • Prepare various committee meeting minutes.
  • Back-up receptionist as requested.
  • Special projects as assigned.

Required Qualifications:

  • High School GED or equivalent.
  • Ability to complete multiple and varying client requests in a timely fashion.
  • Ability to communicate effectively in-person, via phone and email.
  • Microsoft Office/Computer Knowledge required.

Physical Requirements:

  • Ability to sit/stand at a computer monitor for extended periods of time.
  • Ability to perform repetitive finger, hand and arm movements.
  • Ability to lift up to 20 lbs.
  • Ability to reach, squat, bend and manually manipulate standard office equipment.
  • Ability to clearly speak, hear, see, and communicate with customers and co-workers of all levels.
